Receptionist - Front Desk - Part Time - Mornings

The Receptionist is responsible for receiving all incoming calls and directing them to the appropriate staff person. The receptionist will also greet and direct all visitors to the agency, and post all agency mail. The receptionist will be part of a Support Staff team, and will work in collaboration with other team members to accomplish team projects, as assigned.

*** This is a part-time 22.5 hour per week position. Hours are 8:30 am 1:00 pm M-F ***

RESPONSIBILITIES:

Essential functions of the position are below. Additional duties may be assigned as required

  • Answers all telephone calls to the Agency in a courteous, enthusiastic and timely manner and directs these calls to the proper individual or department; retrieves and forwards messages from the answering service and agency voice mail.
  • Greets and directs all visitors to the agency; maintains visitor log and key cards; answers general visitor/caller queries when appropriate.
  • Prepares all outgoing morning mail for pickup, replenishes postage and postage supplies. As needed, date stamps and distributes all incoming agency mail and maintains staff mailboxes. Opens and distributes incoming faxes and packages, maintains the appearance of the lobby and reception area.
  • Assists in general support staff functions including preparation of bulk mailings for other departments and assembling information packets.
  • Manages conference room schedules and assists with special projects as required.
  • May be required to change or work extra hours to cover other shifts including some holidays.

QUALIFICATIONS:

  • High School diploma needed.
  • A minimum of one year receptionist experience required.
  • Excellent customer service skills and courteous phone manner.
  • Excellent interpersonal communication skills and attention to detail.
  • Ability to operate a multi-line phone system and other office equipment.
  • Accurate word-processing skills; proficiency in Microsoft Word and Outlook required.
  • Strong knowledge of office practices and administrative procedures.
  • Ability to work well within a team-based structure.
